We offer reliability for our discerning clientele and are currently represented in 27 countries. The brand stands for more than 20 years of experience and a contracted portfolio with more than 180,000 vehicles.
We see our core task in supporting our customers in achieving their goals and in providing valuable operational and strategic services. FleetCompany GmbH is 40% owned by TÜV SÜD Auto Service GmbH, a wholly owned subsidiary of TÜV SÜD AG, and 60% by Volkswagen Financial Services AG.
We are pushing the change from a fleet management provider to a “Managed Mobility as a Service” provider.
Mission
International Support Executive (ISE) is responsible for the import of client data during the on boarding process for new clients. Through interrogation of data, the ISE will work alongside the local operations team & the client to either resolve, reject or document data workarounds/ anomalies in the relevant client facing workbooks within the agreed implementation timeline.
They will take ownership of the Implementation Audit & Compliance programme ensuring all markets complete implementations in a consistent manner, using the international tools.
The ISE will seek satisfactory resolution to any deviation to the standard process if required.
When necessary, the ISE will be involved with the Audit & Improvement process for clients where a board escalation due to service delivery has been raised. Through detailed examination of the systems, the ISE will report back their findings and areas where further investigation is required at a local level.
Key Target: Implementation System Set Up & Tools
The International Support Executive acts on their own initiative as well as with close involvement of Local Implementation Managers in order to set up internal & client facing Fleet Logistics systems.
The target is to set up systems in line with the client requirements whilst maintaining the best practise Fleet Logistics approach. The tasks will be managed in line with the implementation milestone plan. The employee is responsible for ensuring any quality issues are documented in the relevant documents and a mutually acceptable outcome is agreed by all parties.
The main responsibilities relating to Implementation System Set Up & Tools:
- Ensure the CIM Tools are maintained & updated in collaboration with the Tool owners bi annually.
- Validate all Vehicle & HR data prior to upload into Fleet.net.
- Completion of import frame & gaining local sign off prior to submitting for upload into fleet.net using the Data Matrix Template.
- Set up the Fleet.ONLINE system for all new clients ensuring there is a high quality & consistency across all marketsSupport the setup of IVR telephone systems in applicable markets to ensure consistency.
- Owner of all silver templates during the implementation phase, and provide training to the local team to enable them to maintain post live date without support.
- Training of local markets on all implementation tools.
- Gate keeper for system quality.
- Continuous evaluation of processes & training documents ensuring they are up to date.
- Any other task deemed relevant to the International Support Executive role.
Key Target: Implementation Audit & Compliance
Target is to ensure all implementations follow the same process, using the correct tools in all Fleet Logistics markets. Identify additional training opportunities in local markets & escalating where non-compliance is identified.
Below in detail are the main responsibilities relating to the International Support Executive relating to Implementation Audit & Compliance:
- Managing Audit & Compliance process for selected implementation clients.
- Raise queries with local implementation team regarding any areas of concern.
- Follow up with local implementation team on requests for additional information.
- Identify any areas of concern to line manager.
- Monitor to ensure implementation timelines are being met.
- Ensuring central CIM planner is updated on a weekly basis by all implementation managers.
- Vetting the CIM planner to ensure information input is of a high quality.
- Ensure implementation managers submit their Go Live Checklists, Toolkits & Data Matrix in line with pre-agreed internal timelines Sign off of Go Live Checklist, Toolkit & Data Matrix.
- Provide ongoing support & training to local markets on the implementation tools & processes.
- Any other task deemed relevant to the International Support Executive role.
Key Target: Audit & Improvement
To assist in the Audit & Improvement process where a client has raised a serious escalation that warrants an audit in a local market. The International Support Executive will interrogate the Fleet Logistics systems to identify areas for improvement & report back to the Audit & Improvement lead.
Below in detail are the main responsibilities relating to the International Support Executive relating to Audit & Improvement:
- Interrogation of data in system to identify gaps & anomalies.
- Interrogation of IVT uploads in order to analyse timeliness & validation process.
- Interrogation of ticketing in order to analyse timeliness against SLA’s/ KPI’s.
- Provide detailed breakdown of anomalies to local markets for correction.
- Audit & upkeep of all Audit & Improvement documents.
- Comparison of data quality at the start & end of the Audit & Improvement programme, escalating poor performance to line manager.
- Create a summary of exercise to be fed back to local market country head & FLI board.
- Any other task deemed relevant to the International Support Executive role
Note: this role may involve some travel outside of the country of residence.
Requirements
- Besides native Spanish, excellent level of English (spoken and written).Additional language skills are desirable.
- Proficient use of Microsoft Office Products (in particular Excel, PowerPoint & Visio).
- Ability to interrogate data & present findings in an easy to read manner.
- Minimum three (3) years fleet management experience.
- Experience in multiple markets desirable.
- Ability to communicate effectively & efficiently by telephone & email.
- Must be able to work to strict timelines without compromising quality.
Remote working with 1-2 days office presence in the sorroundings of Barcelona.
